A.         Call to Order – Denny Hoadley, Chair

·         The meeting was called to order at 7:00 p.m.

·         Report from the chair

v      Policy Statement 150 – Rules of Procedure for Town of Cary Boards and Commissions

v      The Committee will discuss this policy at the October meeting, but everyone should review the policy.

 

B.         Roll Call

·         Absent:  Mamta Bisarya; Gyan Gupta; Andrew Shears, Teen Council Representative

 

C.         Adoption of Agenda
Denny Hoadley requested that under new business the Parks, Recreation and Cultural Resources brochure and survey be added to the agenda.
ACTION:  Paul Wasylkevych made a motion to accept the agenda.  Kay Struffolino seconded.  The motion passed unanimously.

 

D.         Adoption of Minutes

·         August 8, 2006

ACTION:  Kay Struffolino made a motion to accept the August 8, 2006 minutes.  David Lindquist seconded.  The motion passed unanimously.

 

E.         Staff Report

F.         New Business

·         Review Funding Request Form

v      Lyman Collins introduced Kathy Lleras, Budget and Management Analyst with the Town.

v      Ms. Lleras explained the Funding Request Form can be updated and she would like feedback from the Committee.

v      The forms are mailed to the organization in January 2007.  Ms. Lleras explained she would need feedback by November 1, 2006.

v      Staff will email the Committee the March 14, 2006 minutes that will provide the seven factors that funding is considered under.

v      The Committee felt the organization that applied should receive feedback good or bad about their application.

v      The Committee will need to email Paul Wasylkevych by September 22, 2006 the questions they would like to see on the new form.

 

·         Program Brochure and Survey

v      Denny Hoadley explained PRCR staff made a presentation at the PRCR Advisory Board meeting last night on the PRCR Program Brochure.

v      A couple of changes that will be taking place are the Teen Scene and Senior information will be pulled out of the brochure and placed in their own brochure.

v      Staff is looking at ways to update the brochure and would like the Committees feedback.

v      Staff will email the survey to the Committee for easier return.

 

G.         Updates and Discussions

·         Festival Committee Report 8/22/06– Kay Struffolino

v      This was the last-minute wrap-up meeting prior to Lazy Daze.

v      Work assignments were outlined for the Committee and t-shirts were issued.

v      Changes to concession areas are the addition of quality control.

v      Being the last Friday of the month, Art Loop was also taking place and in conjunction with that a reception would be held from 6 – 9 p.m. at Town Hall.

v      Lazy Daze 2006 Feedback

Areas that worked well

o        Friday evening load-in went well – more artist and concession set-up than in past years.

o        Opening ceremonies went smoothly and the combined bands went well.

o        Continues to receive much praise from the artist and concessionaires.

o        The location of Cultural Arts expo continues to be excellent – traffic was good.

o        Volunteer support was excellent at the cultural arts table.

o        Also, every member of the Cultural Arts Committee who was available worked some where within the Festival.

o        Paul Wasylkevych presented the Committee with the feedback from the Cultural Arts survey.  Staff will now simplify the results and have ready at the October meeting.

 

Areas that need to improve

o        Issues with power, which seemed to be from data entry.

o        Signage needs a boost.  We suggest re-purposing the large flat board as a greeting sign at the Dry Avenue end of the expo zone and using a flip chart signboard at the bus stop end.

o        Perhaps we can give the zone a catchier name, such as the “Cultural Arts Gateway”.

o        We would also like to add unifying elements to each booth so that we can better tie the participants to the overall zone.  An inexpensive way to accomplish this is a single color table cloth.

o        A revised arrangement of booths at the crosswalk is needed.

o        We need to improve the communication of expectations to participants given that one left quite early.

o        Layout on the Committee table needs improvement.  We need a number of Lucite display racks and bags.

o        Emergency kit to include: duct tape, clipboards, phone number sheet, trash bags, etc.

 

 

·         Amphitheatre Advisory Committee Report – delivered by Kay Struffolino on behalf of Gyan Gupta

Upcoming programs are:

o        White: A Cirque USA show – September 23rd

o        Triangle Uncorked Wine Festival – September 30th

o        Carolina Hope Festival featuring the Indigo Girls – October 1st

o        String Cheese Incident – October 11th

o        Diwali – October 4th

o        Gaelic Myths & Mayhem – A Halloween celebration throughout the ages – October 28th

o        Tinsel Town – November 20th – December 31st

ü       We are looking for volunteers interested in working event nights – selling tickets, renting skates, helping Santa, etc.  Anyone interested should go to the website and sign-up to volunteer.
